FöPro software to be rolled out for Teams up! application process
A new software solution, which is already used by other Engagement Global programmes, is to be made available at the AGYO too from March 2025. Known as “FöPro”, it will serve as a tool for all organisations seeking to submit an application to Teams up! for an implementing organisation assessment. Implementing organisations looking to apply for Teams up! funding for a youth exchange, accompanying or pilot project will also be able to use it. In addition, the project outline documents that always have to be submitted before the actual project application will be submitted via FöPro too. This will do away with the need to submit the PDF forms previously provided for these tasks.
Which organisations will benefit from this change?
The changeover to FöPro will apply to all organisations that submit their project outline document for the 15 May 2025 deadline and, if approved, their project application for the 31 July deadline. In addition, all organisations that submit an application for subsequent deadlines will only be able to use FöPro to do so. The same applies with immediate effect to all organisations seeking to submit an application for an implementing organisation assessment. Please note that implementing organisation assessments will not be possible from 1 to 18 March due to technical work.
Organisations that submitted their funding application for the 15 December 2024 deadline or were included in the pipeline projects at that date are not affected by the move to FöPro.

Can my organisation continue to submit application forms or project outline documents by post and email until FöPro is rolled out?
Post and email submission are no longer possible. Please wait until FöPro has been rolled out.
What things will the changeover make easier for my organisation?
Once FöPro has been rolled out, you will no longer need to submit application and project documents by email and post. FöPro guides you through the application system in a user-friendly manner and also provides a legal version of the forwarding agreement and any change agreements. There is no longer any need to submit signed documents by post. Furthermore, if required, several people from your organisation can work simultaneously on the application or the proof of use document. How can my organisation access FöPro?
If you’re already authorised to submit applications for Teams up!, you will automatically receive an email in March containing a registration code and instructions on how to register your organisation.
Organisations that still have to do an implementing organisation assessment can simply register with FöPro from March onwards. We’ll announce the exact date on our website as soon as it’s been decided on.
What will change for partner organisations in African countries?
Sample application forms for partner organisations in African countries will be supplied in English and French on the website as of March. Since applications will continue to be submitted by the German organisations, FöPro will only be available in German. However, German implementing organisations and partner organisations from African countries can still use the sample applications, which have the same structure, to help them consult on their project applications.
Which applications will be submitted via FöPro?
From March 2025, all applications for implementing organisation assessments, project outline documents and applications for youth exchange, accompanying and pilot projects will have to be submitted via FöPro. The application forms have been shortened and slightly modified and there is now just one application form for all three project types.
Will fund requests, interim/final proof of use documents and participant lists be submitted via FöPro too?
During 2025, the procedure will change so that the only way of submitting all the other documents you need for your Teams up! project will be via FöPro. The participant lists required for proof of use will continue to be signed by hand by all participants. You can find a template participant list in the Document Centre on our website. Scans or photos of the lists will then be submitted via FöPro along with the proof of use document.
How can I find out what data my organisation has to provide for applications in FöPro?
We will be posting sample application forms and guides on how to complete them on our website soon. FöPro will also provide a range of guidance on how to complete the forms, simplifying the application process for you.
How will the content of the application forms for implementing organisation assessments and projects change?
The application forms have been revised and made easier for applicant organisations to fill in. With immediate effect, there is now just one application form for all three project types: youth exchange, accompanying and pilot projects. There are no changes in terms of the topics covered. The data to be provided is similar to that of the existing PDF forms.
What does my organisation have to bear in mind if it’s already implementing a Teams up! project or has had its project approved already?
All organisations that submitted a Teams up! project application for the December 2024 deadline and any pipeline projects from that period will continue to use all the forms available in the Document Centre on our website. FöPro does not apply to them.
